How the time card calculation works

First the tool finds the total shift length by subtracting the clock-in time from the clock-out time. If the clock-out is earlier than the clock-in, it assumes the shift crossed midnight and adds 24 hours. It then subtracts your unpaid break minutes to get paid hours. Multiplying the paid hours in decimal form by your hourly rate gives gross pay, before any taxes or deductions.

How shift time, breaks, and pay add up A bar showing the full shift, minus a break, giving paid hours that multiply by the rate for pay. Full shift Break Paid hours × rate = gross pay
The break is removed from the shift, then paid hours multiply by the hourly rate.

Frequently asked questions

How do I calculate hours worked from a time card?

Subtract the clock-in time from the clock-out time to get the total span, then subtract any unpaid break minutes. For example, 9:00 AM to 5:30 PM is 8 hours 30 minutes; subtract a 30-minute lunch and you have 8 hours of paid time.

How does the calculator handle an overnight shift?

If the clock-out time is earlier than the clock-in time, the tool assumes the shift crossed midnight and adds 24 hours. A shift from 10:00 PM to 6:00 AM is counted as 8 hours.

How is gross pay calculated?

Gross pay is the total paid hours multiplied by your hourly rate. If you worked 8 paid hours at 18 per hour, gross pay is 144. This figure is before taxes and other deductions.

Are breaks paid or unpaid?

This calculator treats the break minutes you enter as unpaid, so they are subtracted from your total hours. If your breaks are paid, simply leave the break field at zero.

Is my data saved anywhere?
